Scheduling multiple exams in a block of time

Back-to-back exam registration or scheduling allows you to schedule a candidate for multiple exams in one block of time. This method gives you the ability to select multiple exams on an order and find a block of time at a single test center that is sufficient to deliver the selected exams. When the candidate takes the exams at a test center, the exams are given back to back.

In order for back-to-back scheduling to work, the scheduled exams must meet the following conditions:

  • Must be for the same candidate

  • Must be contained on the same order

  • Must be scheduled on the same day at the same test center

  • Must be offered by the same exam sponsor.

  • Back-to-back scheduling only impacts the scheduling of exams. For all other purposes, the exams are treated separately within the system. For example, when you admit a candidate with a back–to-back registration, the candidate must be admitted for each exam in the exam appointment. Though the exams are scheduled in one block of time, the exams are treated in Registration Manager as though they are registered and scheduled separately.

  • Some exam sponsors limit the number of exams that can be taken within an order. A message appears if you attempt to add an exam to a back-to-back registration that exceeds the limit. The system stops you from trying to add exams that exceed the maximum number of exams allowed by an exam sponsor for an order.

  • If a candidate wants to reschedule an entire group of back-to-back exams, the exams must be canceled individually and then rescheduled again using the process in this section. For more information on how to cancel exams, see Canceling an exam appointment. Any applicable reschedule or cancellation fees are charged for each canceled exam.

 

Follow these steps to perform back-to-back scheduling:

  1. Find or create the record for the candidate you want to register.

  1. Click Exams to switch to the Exams screen.

  2. Select the first exam that the candidate wants to take from the list in the What section. Read the exam title and number to the candidate and ask him or her to confirm that it is the correct exam.

To quickly locate an exam in the list, use the Exam Search or Exam Group filters. For more information, see Using the Exam Search and Exam Group filters.

Exam sponsors may sometimes remove an exam from its list of offered exams. In that case, a message appears when you select the exam, informing you that the exam has been suspended and that you cannot schedule appointments for it.

Some exam sponsors restrict test centers from scheduling appointments for certain exams. In that case, the exam will not be listed in the screen.

When you select the exam, the language(s) the exam is offered in are listed on the right side of the What section.

  1. Select the language in which the exam will be delivered.

If Registration Manager lists more than one language, ask the candidate in which language he or she would like to take the exam, and then select the language.

  1. Click the Details button (if it is active) to open the window. In the Questions tab, enter the candidate's answers to the exam or registration questions.

If an exam sponsor does not have any questions or the questions are not editable, proceed to the next step without asking questions. For more information about the Questions tab, see Exams screen.

If the exam sponsor requires the candidate to answer questions in the Item Details window, the candidate must answer the questions for every exam that is added to the back-to-back registration. The candidate may end up answering the same set of questions multiple times.

  1. Click Add Back to Back Exam.

A message prompts you to confirm that you would like to add the exam to a back–to-back order.

  1. Click Yes to confirm.

When you return to the Exams screen in Registration Manager, you will see 1 Back to Back Exam under the Add Back to Back Exam button. This message indicates how many back-to-back exams are scheduled for the current registration. The number in the message changes as you add more exams to the registration.

Additionally, you are now able to click Appointment Order on the Exams screen to open the Appointment Order window. For more information about the window, see About the Appointment Order window.

  1. Follow steps 3-7 again to add the next exam that the candidate wants to take in the same block of time. Continue this process until all the exams are added to the registration.

You can only perform back-to-back scheduling for exams offered by the same exam sponsor.

  1. Select a test center in the Where section, if necessary.

  1. Ask the candidate when he or she would like to the take the exams. In the When section, find an available appointment time at the test center based on the candidate's response.

When you search for a back-to-back appointment date and time, Registration Manager looks for a block of time that meets the following criteria:

  • The total duration of the selected exams can be delivered on a single day at the test center.

  • All exams fall within overlapping authorization and delivery windows.

  • All required assets for the selected exams are available for the entire block of time.

If no blocks of time meet the criteria, Registration Manager does not display any available appointment times.

  1. Select the appointment date and time from the list in the When section, and then click Schedule.

When the Order screen appears, you can enter payment information and complete the registration. You can also remove an exam on the Order screen, if necessary. For more information, see Entering payment and completing the order.
