Greeting candidates and verifying appointment details

Candidates are asked to arrive at the test center at least 15 minutes before their exam appointment time. For more information about dealing with candidates who arrive late, see Handling no-shows and late arrivals.

 

Follow these steps when a candidate arrives to take an exam:

  1. Greet the candidate when he or she enters the test center. If applicable, indicate where coats are hung.

If you cannot process a candidate immediately, indicate where the candidate should wait. Tell him or her that candidates are processed in the order in which they arrive.

Candidates are not permitted to bring food or beverages into the testing room unless they have an accommodation. Candidates who arrive at your test center with a service animal should be admitted. They are not required to have an accommodation for the service animal. For more information about service animals, see Handling candidates with service animals.

  1. Ask for the candidate's name and the name of the exam he or she wants to take. Verify that the candidate's appointment is listed on your test center's schedule and is deliverable.

To display the schedule pane, log in to Admissions Manager. For more information, see Opening Admissions Manager in this chapter. Click the exam appointment time on the schedule pane to display a list of candidates scheduled at that time.

Sometimes candidates want to take exams before their scheduled exam appointment time. To prevent problems and ensure that the candidate takes the correct exam, reschedule the candidate's appointment for the actual time that he or she wants to take the exam, and then run RMA manually. Make sure that the candidate's name is listed and that an "X" appears in the D column, which indicates that the exam is deliverable and ready for the candidate to take.

If the candidate's name does not appear on the schedule, check your test center's schedule in Site Manager. For more information, see Checking the schedule in Site Manager.

  1. Check to see whether the candidate has been approved for any accommodations.

If an A appears in the A column on the schedule pane, the candidate has been approved for an accommodation. In most cases, the accommodation is an English as a second language (ESL) time extension. Click the name on the schedule and check the bottom of the window to see more information about the accommodations that have been granted.

  1. Check to see whether the candidate has a waiver applied to his or her exam.

Waivers are allowed on exams for regulatory programs only but not all regulatory programs allow waivers. See the exam sponsor's client reference to see if waivers are allowed. For more information, see Handling waivers for regulatory exams.
