Resending letters and other correspondences

Follow these steps to request for a letter or correspondence to be resent by email in Registration Manager:

Test centers can request that a letter be resent by email only. If someone needs the letter resent by ground mail, tell him or her to contact the call center for assistance.

  1. Find the candidate’s record in Registration Manager.

  1. Click the History tab, and then select Exam Registrations, Active from the Show drop-down list.

  2. Select the registration that has the letter which needs to be resent.

  3. Click Resend Letter.

The Resend Letter window opens, as shown in the following image. In the Letters that have been sent area, you can see all letters that have been sent or are in the process of being sent to the candidate.

The following table provides information about the information contained in the Resend Letter window:

The type of letter or correspondence sent to the candidate.

Language

The language in which the letter or correspondence was sent.

Method Sent

The method by which the letter or correspondence was sent and its status.

Email FAILED

The system failed to send the email.

Email FULFILLED

The system successfully sent the email.

Print NEW

A new request for a print letter or correspondence was requested.

Print BATCHED

The request for the print letter or correspondence was put in the batch to be sent by the print vendor.

Print SUBMITTED

The request for the print letter or correspondence was submitted to the print vendor.

Print FULFILLED

The print letter or correspondence was sent to the candidate.

Print FAILED

The print vendor was unable to generate and send the print letter or correspondence.

Print DEADLINE PASSED

The print letter or correspondence was to be sent, but the time between when the registration was created or when the appointment was rescheduled and the actual exam delivery date was less than the imposed print deadline based on the country where the test center is located.

Print NO MAIL COUNTRY

The print letter or correspondence was to be sent, but Pearson VUE is not able to send printed letters or correspondences to the country where the test center is located.

Time Sent

The time and date when the letter or correspondence was last changed. For example, the time could represent the time at which a request to send the letter or correspondence was submitted to the Pearson VUE server or the time at which the document was actually sent.

System

The system in which the letter is set up and generated. Either Correspondence Engine or App Server will be listed.

The window also indicates how and when each letter was sent. Printed or Print FULFILLED means that the letter was printed and sent to the candidate via ground mail.

  1. Check when the letter was initially sent to ensure it is not still in transit.

Those requesting a letter should allow 24 hours to receive an email and at least five business days to receive a letter by ground mail. Internationally, ground mail may take longer than five days.

  1. Select the letter that needs to be resent from the list in the Letters that have been sent area.

  2. Select Email from the Method drop-down list.

The Recipient field shows who will receive the letter. By default, the person who was selected as the contact for the order is listed in the field. It is possible that this is not the same candidate or person making the request. For more information, see Entering payment and completing the order.

  1. If the letter needs to be sent to someone other than the original recipient of the letter, enter the requester's email address in the Email field.

The email address you type in this field is not saved with the candidate’s record, so you can type in a different email address. Thus, if you are trying to request a copy of the payment confirmation letter because you had paid for the candidate’s registration with a test center credit card, you can type in your email address to have it sent to yourself.

  1. Click Resend.

A message notifies you that the request was successfully submitted. The letter will be emailed within 24 hours.
